CheckWhenDone is designed to know as little about you as possible. There are no user accounts and no sign-up, so nothing you do here is tied to a person.

Your sheet

The sheet you design is encoded in the page URL in your browser. Typing in the configurator sends nothing anywhere by itself, and printing happens locally through the normal print dialog.

When you print a sheet, click Share, or save a short link, the sheet's configuration is stored on the server under a short id (the /s/part of the link), so the link and the "Print more" QR code on the paper keep working later. What is stored is exactly what the URL holds: the title, the schedule and number of boxes, any notes, and the addresses of QR links. Nothing about you is stored with it: no IP address, no browser details, no identifier of any kind. Two people who save an identical sheet share one stored copy. A sheet left at its defaults is never saved.

A saved sheet is anonymous but not secret. Anyone with the link can open it, and the site counts how often each saved sheet is opened, printed, and shared, as a timestamp per event with nothing about who did it. The maintainer can feature a saved sheet as a ready-made sheet on the front page, and the front page may list recently printed and most printed sheets by title. So treat the title, notes, and QR links of a sheet as public, and keep names or other personal details off a sheet you would rather not see listed. To have a saved sheet removed, email its link to [email protected].

Cookies, logs, and abuse guards

The site sets no advertising or analytics cookies and runs no third-party trackers. The only cookie the site itself sets is the one that keeps the maintainer signed in to the admin pages; visitors never get one. The pages are served through Cloudflare and hosted on servers in the European Union; like nearly all web infrastructure, these systems keep short-lived technical logs (IP address, requested URL, user agent) for security and abuse prevention. These logs are not used to profile visitors.

Because the configuration travels in the URL, opening, refreshing, or following a sheet link sends that URL (title, notes, and QR link addresses included) to the server like any other web request, where it can appear in the short-lived technical logs described above. To slow down automated abuse, the server also counts saves, votes, and feedback submissions per IP address in memory for a minute at a time. Those counts are never written to the database.

Feedback

Feedback sent through the form on the feedback page is stored in the site's database together with the optional email address you give, and forwarded to the maintainer by email. The address is used only to reply to you. Upvotes on the feedback page are counted anonymously; the only thing kept on your side is a note in your browser's local storage of which items you already voted for, so the button does not offer itself twice.
